{"id":1761,"date":"2026-04-10T16:15:19","date_gmt":"2026-04-10T16:15:19","guid":{"rendered":"https:\/\/www.repairshopsolutions.com\/about\/?post_type=resources&#038;p=1761"},"modified":"2026-04-10T20:01:09","modified_gmt":"2026-04-10T20:01:09","slug":"working-with-tasks","status":"publish","type":"resources","link":"https:\/\/www.repairshopsolutions.com\/about\/resources\/working-with-tasks\/","title":{"rendered":"DVI &#8211; Working With Tasks"},"content":{"rendered":"\n<p>Once you have used the system for a few days or tried the included <a href=\"https:\/\/www.repairshopsolutions.com\/about\/resources\/inspection-template-basics\/\">templates<\/a>, you may decide that you&#8217;d like to customize the tasks a bit. \u00a0This is a comprehensive guide to helping you understand how the system is put together and what changes can be made.<\/p>\n\n\n\n<p>To access your tasks, go to the settings menu and select \u201cCategories and Tasks.\u201d If you don\u2019t see this option, you may need to get the Shop Owner to\u00a0<a href=\"https:\/\/www.repairshopsolutions.com\/about\/resources\/setting-up-your-employees\/\">upgrade your security settings<\/a>.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"548\" height=\"286\" src=\"https:\/\/www.repairshopsolutions.com\/about\/wp-content\/uploads\/2026\/04\/image-3.png\" alt=\"This image shows the menu layout to access the category and task editing\" class=\"wp-image-1758\" srcset=\"\/about\/wp-content\/uploads\/2026\/04\/image-3.png 548w, \/about\/wp-content\/uploads\/2026\/04\/image-3-300x157.png 300w\" sizes=\"auto, (max-width: 548px) 100vw, 548px\" \/><\/figure>\n\n\n\n<p>Remember that all tasks belong to a specific <a href=\"https:\/\/www.repairshopsolutions.com\/about\/resources\/working-with-categories\/\">category<\/a>. This order will be reflected in any template that includes the tasks. The next column is the task name, or what we&#8217;re asking the mechanic to check. This can also be used as instructions, like the first row shown above, to tell them something about the list of tasks.<\/p>\n\n\n\n<p>The next column with icons can contain these:<br>\ud83d\udd12Indicates that the task is locked, and a mechanic cannot add new findings <br>\u2139\ufe0f Indicates that this task has a paragraph that explains the task to the customer<br>\ud83d\udcd6 Indicates that the task includes instructions for the mechanic to follow<br>\ud83d\udcd0 Indicates there is a spot for the mechanic to add measurements (Miles, inches, etc.)<br><img loading=\"lazy\" decoding=\"async\" width=\"18\" height=\"16\" class=\"wp-image-1773\" style=\"width: 18px;\" src=\"\/about\/wp-content\/uploads\/2026\/04\/image-8.png\" alt=\"\">  Indicates that this task is for internal use only and will <a href=\"https:\/\/www.repairshopsolutions.com\/about\/resources\/adding-internal-tasks\/\">not be visible to your customers<\/a>.<\/p>\n\n\n\n<p>The &#8220;Type Column shows you what type of task this is. There are many. The most common is &#8220;Pass\/Warning\/Fail&#8221;, which uses the green\/yellow\/red options that you&#8217;re used to. Another type we use commonly is the &#8220;Yes\/No&#8221; type, which turns the task into something that can be answered with a yes or no answer. You might use that to ask the mechanic if they test-drove the car.<\/p>\n\n\n\n<p>The Findings column shows you how many options are available in a dropdown when a mechanic marks a task as yellow, red, or no in a yes\/no question. It is optimal to keep this less than 10 to keep things simple and easy to read. When the list grows too large, it takes too long to make a selection<\/p>\n\n\n\n<p>The next column shows you which <a href=\"https:\/\/www.repairshopsolutions.com\/about\/resources\/inspection-template-basics\/\">templates<\/a> the task is used in. It can be used in any of them.<\/p>\n\n\n\n<p>Finally, the option to edit a task. Use this for questions like &#8220;Is it 4 Wheel Drive?&#8221;<\/li>\n\n\n\n<li>This can be used to turn a task off so it cannot be used in a template.<\/li>\n\n\n\n<li>If you want to make this task appear in BOLD type, it can be used to inform a mechanic that it is important and should be included in every inspection. There&#8217;s also the option to <a href=\"https:\/\/www.repairshopsolutions.com\/about\/resources\/make-tasks-appear-in-bold-text\/\">show only bold items to a mechanic<\/a>, in case you have a lube tech who only wants to see a small number of items on a simplified checklist.<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"317\" height=\"283\" src=\"\/about\/wp-content\/uploads\/2026\/04\/image-13.png\" alt=\"The image shows the different type of tasks that we offer in our digital vehicle inspection software\" class=\"wp-image-1783\" srcset=\"\/about\/wp-content\/uploads\/2026\/04\/image-13.png 317w, \/about\/wp-content\/uploads\/2026\/04\/image-13-300x268.png 300w\" sizes=\"auto, (max-width: 317px) 100vw, 317px\" \/><\/figure>\n\n\n\n<p>These options let you choose what type of task you want. You have options to make it a statement-only without checkoff options, to show something that is non-applicable, to use yes\/no options, or any combination. The mechanic will not be able to complete the inspection without bypassing a warning that lets them know they missed something<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"295\" height=\"207\" src=\"\/about\/wp-content\/uploads\/2026\/04\/image-15.png\" alt=\"The image shows a few of the task options for adding mechanic notes to them\" class=\"wp-image-1785\"\/><\/figure>\n\n\n\n<p>The notes option determines whether you will allow the mechanic to add their own notes to a task. It can also make notes mandatory. We recommend the &#8220;Optional &#8211; Visible only for Warn\/Fail&#8221; option, as you don&#8217;t want the mechanic to be able to add notes unless there&#8217;s a problem.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"321\" height=\"184\" src=\"\/about\/wp-content\/uploads\/2026\/04\/image-16.png\" alt=\"The image shows a few of the task options for showing findings and recommendations\" class=\"wp-image-1786\" srcset=\"\/about\/wp-content\/uploads\/2026\/04\/image-16.png 321w, \/about\/wp-content\/uploads\/2026\/04\/image-16-300x172.png 300w\" sizes=\"auto, (max-width: 321px) 100vw, 321px\" \/><\/figure>\n\n\n\n<p><a href=\"https:\/\/www.repairshopsolutions.com\/about\/resources\/working-with-findings-and-recommendations\/\">Findings and recommendations<\/a> let you decide whether this task will be preloaded with a list of options to select when a task is marked as a warning or a failure. This is where you can choose to lock a task to prevent users from <a href=\"https:\/\/www.repairshopsolutions.com\/about\/resources\/working-with-findings-and-recommendations\/\">adding new findings to the existing dropdown<\/a> options<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"317\" height=\"220\" src=\"\/about\/wp-content\/uploads\/2026\/04\/image-17.png\" alt=\"The image shows an option to include images and videos with the digital vehicle inspection\" class=\"wp-image-1787\" srcset=\"\/about\/wp-content\/uploads\/2026\/04\/image-17.png 317w, \/about\/wp-content\/uploads\/2026\/04\/image-17-300x208.png 300w\" sizes=\"auto, (max-width: 317px) 100vw, 317px\" \/><\/figure>\n\n\n\n<p>Photos and videos can be added to any task. We have no limit on the number of photos and videos; up to 200 MB can be added. Most other systems limit you to 10 MB, which can be very restrictive. The other option here is whether you want the image to be &#8220;<a href=\"https:\/\/www.repairshopsolutions.com\/about\/resources\/sticky-images\/\">Sticky<\/a>&#8220;. This means that an image taken during this specific task will be automatically saved to this task and vehicle, and will automatically appear the next time a checklist is created for this vehicle. If you already have an account with them, we can use that, or you can purchase a subscription through us for less. This is where you would set up a task to include an explainer video from that account. They can be optional or required. Give the option a name like &#8220;Volts&#8221;, set the measurement value you want to use, and then decide what style you want it.
