Now that you've signed your company up, what are the next steps?
1. Setup your employees
2. Setup the inspections
3. Start using the system
1. Setup your employees: (One person shops will not have this option)
In most companies, your employees are set up as either Owners, Managers or Mechanics. Owners can reach any part of the program and view anything, make changes, add or delete employees, etc.. Managers have limited access and can start, view, search and print inspections. They can also admin the mechanics and have access to to reports and some setup options. Mechanics when logged in have limited access. Once a mechanic is logged in they can have very limited access and may only see inspections that have been assigned to them, or by changing their settings they can start inspections and see all pending inspections in the que.
So, the first step is to add all of your employees that will use the system, you will need their names, email addresses and a temporary password for them. As you set each employee up, they will be sent an email with their login instructions and their temporary password.
2. Setup the inspections:
When you signed up, there were several Inspection Templates" that were added to your account. Keep in mind that they are just templates and you may find them to work perfectly as they are, or you may want to cusomize them. We realize that each shop is different. Some measure brakes in percentage and others measure them in milimeters. Have it your way!
You can quickly see how they look by clicking the "Preview" link under "Inspection Lists/Edit Inspection types". This is also where you will turn items on and off for each inspection type by using the edit button to the right of each inspection type.
My first recommendation before you start getting too crazy is to start an inspection from your home page, just use a John Doe with any vehicle, use a made up license plate, vin and ro number. Open the inspection as if you were a tech, click off everything as being in good shape, save it, print it and then look it over.
In setting up your inspections and processes, it's important to understand how a typical inspection works. A normal inspection is divided into four parts or levels, you have "Categories" such as "Undercar", "Underhood" and "Brakes". The next level would be "Tasks". Each category has several tasks, for instance in the "Underhood" category you could have tasks such as "Coolant Level", Coolant Condition", Brake Fluid", etc.. If a mechanic is checking a car and says the coolant level is fine, there would be no reason to go further. However, if the coolant level was low, then the "Coolant Level" task would require a "Finding", such as "Low Coolant Level" or "Overflow Tank is Empty". Once a mechanic has identified a "Finding" other than "OK", he could then make a "Recommendation". So, let's say the mechanic is checking the underhood of the car and finds the coolant level is low, he could make the recommendation that the cooling system should be pressurized and tested for leaks, or he could just say that it needs to be topped off and monitored for coolant loss.
That's how the inspection process is laid out.
It's easy to change headings, categories and tasks. You can even re-order them to fit your specific needs.
To change the order of the categories, add a new one or turn some off, just click the "Edit Categories" to see a current list. On the right side of the screen you see the sort order and can move items up or down. If you select the "Edit Tasks" option, you can see all the pre-made tasks for each category, again, easy to add new ones as needed and if you have one that you don't need, just don't use it. No need to delete it. You'll also notice that tasks have other options. A task can be a Good/Marginal/Bad option, it can be a Yes/No option and it can also include "Units" such as mm, volts, psi. ft/lb's etc. Again, customize it to fit your needs. If this sounds overwhelming, remember we're just a phone call away and can assist you over the phone or customize a template for you for a small fee based on the size of inspection you're setting up.
